South West Highways Ltd, based in Devon, United Kingdom, receive a high volume of safety defect reports every day.
As the contracted repair company, they are tasked with the assessment and resolution of roading issues such as potholes. They were contracted to respond and resolve these issues within a 7 day, 24 hour or 1 hour time frame, depending on the category of road.
Business Solutions Manager, Shaun Gibbins, tells us about the daily challenges they used to face. "Before vWork, all we had were paper instructions. We didn’t have a clue what was completed which made making our contractual response times impossible. We faced several areas of frustration; no efficient planning, no real-time view of current outstanding issues and multiple visits to jobs."
Tired of experiencing the issues first-hand, at the time a Works Manager, Shaun Gibbins spent over two years convincing his company of the need to find a technology solution to work more efficiently. Upon agreement to find a technology solution, Shaun was given the responsibility to make it happen.
After buying his first iPad, Shaun knew that mobile devices such as iPads were required as part of the solution for South West Highways. He knew that the next step was to either find an out of the box app or develop their own customized solution to manage the workflow.
As guaranteed time frames were core to their business model, they needed to put a system in place to introduce efficiencies to the business. This system would track deliveries, riders and whether they met their deadlines.
"We faced many frustrations before we started using vWork; a lack of feedback for customers on their terms (they could call and ask about the status but rarely would), late deliveries – we had no way of tracking these and then we had to manually enter the day’s deliveries into our accounting software (MYOB)."
Shaun shared with us his experiences. "Now, over three years down the track, using vWork we have almost real-time view of what is going on - we are still struggling with data coverage in our area. At the end of the day we know what hasn’t been completed so it gets picked up by our optimizer for the following day. This helps keep us on top of our response times. We have photographic evidence of the repairs we carry out. No more printing off all the reports. Gangs no longer have to travel to the depots twice a day to pick up and return paperwork."swhltd.co.uk
Before vWork, we were printing off every single report and issuing them to our repair crews manually. This meant large amounts of paperwork and crews having to come into the depot at the start and finish of every day.

One of our favorite features is the integration with Tom Tom where you can click on a job and open it in the Tom Tom navigation app giving us full offline navigation. This helps the crew find their way. vWork has a very well designed GUI (graphical user interface).
